Automations: everything that runs by itself, on one page
Auto-scan, auto-generated articles, project alerts, AI crawler alerts, Weekly, the weekly wins digest, re-tests, re-checks after fixes, brand fact checks and AI-ready page sync: where to see their status, how to switch them and how to set scan frequencies.
What this page is for
Citadex runs a lot by itself: re-checking prompts at their frequency, drafting articles daily, alerting you when a competitor intercepts you, the Monday plan and digest, re-tests after you change a page. These used to be spread over Prompt Tracking, Settings, the AI assistant, Competitors and AI Traffic. Automations, under the library in the left sidebar, puts them on one page: when each one runs, its last result, its next run, whether it needs you, and a switch that takes effect at once. It is the same setting as in the original places: switch auto-scan here and Prompt Tracking's Automation menu shows it too.
Two states
- Nothing switched on yet: "Let Citadex watch AI search for you", New automation, "N things already run automatically" (the always-on system jobs), three suggested cards (Show others rotates them) and a description box.
- Once one is on: the list. It stays the list even if you switch everything off again.
The list
- Needs attention: a line with a button when, for example, auto-scan paused for lack of credits, Slack isn't connected, or the last run failed.
- Filters: All / Running / Paused / Needs attention, each with its count; Show system automations adds the system jobs (view only).
- Groups: Monitoring, Content, Alerts, Reports & re-tests. Each row reads left to right: name and description, when it runs, the last result and the next run, and the switch. The auto-scan row shows how many prompts are daily, weekly and monthly, and its estimated credits per 30 days at the current frequencies. Re-tests, re-checks after fixes, brand fact checks and AI-ready page sync run once you set them up on their own pages, so they show Manage / Set up instead.
- Run history in the bar lists every automation's recent runs; Notifications opens the email and Slack settings.
What each one does
- Auto-scan: re-checks each prompt on its own schedule (daily / weekly / monthly) and uses credits. Frequencies are set by prompt group and are the same setting as each prompt's scan frequency in the Prompt Library; daily prompts have a plan limit. When credits run out, auto-scan pauses and the list says so.
- Brand fact check: alerts you when AI gets your support phone, website or prices wrong. Starts once you add brand-defense prompts or official facts under Prompt Tracking → Brand searches; checks daily.
- Auto-generate articles: drafts articles every day for prompts where AI doesn't mention you yet; you review before publishing. Either this or "Generate strategy article".
- Project alerts: after every scan, checks for competitor intercepts and ranking drops. The notification center always gets them; the switch adds email (and Slack when connected).
- AI crawler alerts: daily check of AI crawler visits, blocks and errors; the switch adds email.
- Weekly: every Monday the AI assistant sums up last week, the changes to make and re-test results in a new conversation. It is per person; change the time in the assistant's Weekly settings.
- Weekly wins digest: every Monday, last week's wins and the drops to watch, by email. The old "weekly AI visibility report" switch in Settings never sent anything and now points here.
- Re-tests: after you change your site or content, the same prompts are measured again to tell you whether the change made AI mention you more. During a re-test it re-checks automatically and gives a verdict when the window ends.
- Re-check after fixes: re-checks repair tasks on their re-test date; improvements go to Wins.
- AI-ready page sync: regenerates the AI-ready version when the original page changes and switches it off when the page is gone.
Opening one (details)
The drawer shows what it does, when it runs, its run history and Set it up where it lives →. Also:
- Auto-scan: change the scan frequency by group (daily / weekly / monthly) and press Save; below it, the estimated credits at the current frequencies.
- Project alerts, AI crawler alerts, weekly wins digest: switch email and Slack separately.
Turning one on
- Auto-scan: pick the scan frequency for each group, then Turn on.
- Auto-generate articles: the same confirmation dialog as in Prompt Tracking's Automation menu.
- Weekly, alerts and the digest: a card says what it does and when it runs; press Turn on.
Switching off is immediate.
Describe it in a sentence
The description box hands your words to the AI assistant, which prepares a card; existing automations are switched only after you confirm. Custom condition rules such as "Slack me when ChatGPT coverage drops 10%" are not available yet; the assistant says so and suggests the closest existing alert.
FAQ
Why is a switch grey? You have view access only, or your plan doesn't include it ("Available after upgrading").
If I switch project alerts off, does the notification center still get them? Yes. The switch only controls email and Slack.
"Daily scans are at the limit" when setting a group to daily? Daily prompts have a plan limit across the account; set others to weekly or monthly, or upgrade.
How is the credit estimate worked out? From each prompt's current frequency and its market's engines over 30 days; costly engines on daily prompts count weekly, matching how scans are charged.
